Benefits Administration Manager Ricka Stenerson nominated the team for automating open enrollment at the City, making the process entirely paperless in 2016.
“Open enrollment had included a manual paper process and was thus subject to errors, loss of forms, staff rework due to the need for manual reentry and time/resource inefficiencies. By creating a Citywide team and using the Prosci change management process, this group was able to completely and successfully transition the City's annual open enrollment process to a paperless one for benefits effective Jan. 1, 2017. Due to their effective and efficient planning, this process went amazingly well and all employees were able to complete an online enrollment.
“The team required representation from key City departments with employees who do not have ‘desk’ jobs and daily access to computers. Targeted strategies and communication efforts were implemented to reach all departments and employees of the City with a way for them to enroll in benefits online. The change management process was used to create communication plans to prepare department managers, supervisors and employees for a new process. Collaboration and partnerships across the City were key to the success of this initiative.
“The team also collaborated with members of the Minneapolis Park and Recreation Board on this initiative.”
